How To ...
brandboom
Order Processing from Brandboom
1. Buyer visit presentations on Brandboom, and places his orders.
2. Seller reviews and edits orders on Brandboom.
To add Season Code to the order, Apply a Tag containing season code.
3. Create a tag in the format of "Season:[Blastramp season code"
Example: Season:SP17
Then apply the tag to the order.
4. Make sure shipping date is entered
5. Once the order is confirmed and finalized, set the order statuses to "Complete" and Export Status to "Export Ready" Inventory counts are tentatively reserved on Brandboom.
If changes are made on Brandboom thereafter, the order can be re-uploaded to Blast Ramp by setting the order status back to complete and export again.
6. Orders are collected and sent to Blastramp every minute. If an order fails the requirements in Blastramp, the error is displayed in its order history on Brandboom. Alternatively, you can click the “BLASTRAMP” icon at the top of the the toolbar on the Brandboom orders page to initiate a push of the orders to Blast Ramp. If the order is accepted, it will appear in Blastramp.

NOTE: There may be a delay of up to 30 minutes for the following fields to populate even after an order has been imported into Blastramp: Shipping Cost, Brandboom Credit, and Brandboom Discount fields.

7. Seller process and complete orders in Blastramp.
8. Product and inventory information will be updated from Blastramp every 15 minutes. Inventory level on Brandboom will match Blastramp's
Customer List Between Brandboom and Blastramp
There is no direct sync of the customer list between the two system. To setup the list, the export and import process can be done using Excel.

1. In Blastramp, navigate to: Customers > Export Customers to Excel.
2. In Brandboom, download the Customer Import Template. Paste in the shipping information (Ship To Name, Ship To Address, etc) from the Blastramp worksheet into corresponding column of the Brandboom worksheet.
3. Fill the entire Type column of the Brandboom worksheet with “S”.
4. Proceed to import the worksheet into Brandboom.
5. Repeat the process for the billing information, except now when you import for a second time, the Type column should be “B”.
Manually Upload Products from Brandboom to Blastramp
Easiest is to create the SKUs or Upload the Linelist in Blast Ramp first, then Blast Ramp can send a copy to Brandboom without having to import into Brandboom separately.

1. Make sure that a Linesheet/Season has been created for Brandboom in Blastramp.
2. Check that a Price List is associated to Brandboom's pricing (ex: Wholesale, Retail) in Blastramp.
3. Check all sizes are setup in the Sizescale page.
4. Navigate to: Advanced > Utilities > Upload Linelist via Copy and Paste from Excel.
5. With the products list exported from Brandboom’s Products page, paste the content into the first box.
6. Fill out the second section as indicated below:

Uploading Inventory to JOOR
Build a custom report in Blastramp to match JOOR's inventory template by using the Query - Inventory Report:

1. Single click to select SKU.
2. Click on the >> button in the middle.
3. Select the inventory type to upload into JOOR.
4. in the Criteria section, select the inventory mode selected in Step 3.
5. in the middle dropdown "Operation", select "Is Greater than" to filter out SKUs that have are zero or less.
6. Type a name for a template if you wish to use this template again.
7. Click Now create your report
8. Highlight the results. Right click to Copy.
9. Open the JOOR Inventory template in Excel. Then paste in the copied report. 
Order Upload Integration
Orders are communicated between JOOR and Blast Ramp via FTP File transfer. JOOR uploads the order export onto a FTP server for Blast Ramp to import. All JOOR order numbers will be transferring into Blast Ramp with a leading "J".

There are two export options from JOOR:
1. Automated scheduled task twice a day, at noon and at 5pm (may experience 30-50 min delay).
2. Manually controlled by you in JOOR (may experience 15-30mins delay).

Requirement:

1. Matching SKUs - If one SKU is not found on the JOOR order in Blast Ramp, the entire order will be rejected by Blast Ramp. An error message will be forwarded from Helpdesk identifying the unfound SKU.

Export Invoice into Quickbooks Desktop
1. Advanced.
2. Export.
3. Quickbooks Invoice Export.
4. Select the Season/Linelist to export invoices for, then click on >>.
5. Check the invoices to export by single clicking the boxes on the last column "Export Data".
6. Click Generate at the bottom of the page to confirm the export.
7. Check your email for an iff file attachment.
8. Download the file.
9. Upload into Quickbook.

Troubleshooting Sending Invoice Error
If you encounter error message "Unable to create item [SKU]"

Check the status of the connection with Quickbooks in the screen where you Send Invoices. If it is disabled, click Authorize to connect.
Unable to create customer in Quick Books Online. Unable to add Customer [CUSTOMER NAME] for order #.
Check that the characters are all valid. The accepted characters are as follows:
• Bill to address is the primary key with Customer name
• Regional setting must be US region
• Here is a list of accepted characters:
• Alpha-numeric (A-Z, a-z, 0-9)
• Comma (,)
• Dot or period (.)
• Question mark (?)
• At symbol (@)
• Ampersand (&)
• Exclamation point (!)
• Number/pound sign (#)
• Single quote (')
• Tilde (~)
• Asterisk (*)
• Space ( )
• Underscore (_)
• Minus sign/hyphen (-)
• Semi-colon (;)
• Plus sign (+)

Check the number of characters in the customer name. It must be 25 or less.

Duplicated Customer in Quickbooks

Quickbooks matches the Blastramp bill to company name and address. If the Quickbooks customer display name is changed and not changed in blast ramp, the system will create a new customer.
Similarly, if the SKUs do not match Quickbooks' version exactly (case sensitive and watch out for leading and trailing spaces), there will be another copy created in Quickbooks.

Sending Invoices to Quickbooks Online
Once you have successfully integrated your QuickBooks online with Blast Ramp, now you can send your invoices over.

Navigation: Advanced > Administration > Quickbooks Online Integration (New) > Send Invoices

1. The following information will display so you can select your parameters to display your invoices.
• Start Date: Select the first date you invoiced that you want to import
• End Date: Select the last date you invoiced that you want to import
• Show Exported Orders: You have an option YES or NO.
• Seasons: You have the option to select a specific season or All.
• Terms: You have the option to select a specific terms or All

2. Click "Filter Orders".
3. A list off all your invoices will display below by Order ID / Customer / Order Terms / Season / Already Exported / Ship Date. Select the order by clicking the check box beside each order > click Send Orders.
4. You will see the following message that the invoice successfully sent to QuickBooks Online.
5. Now you will see the invoices in your QuickBooks Online under Open Invoice.

Expecting High Volume of Orders?
Navigation: Advanced > Administration > Integration > Shopify configuration > Edit

1. Please turn off inventory sync between Blastramp and Shopify. This will allow Shopify to track inventory without Blastramp pushing live inventory numbers forward before all orders have been imported. Uncheck BOTH "Enable Inventory Sync" and "Use Full Inventory Sync".
2. We HIGHLY recommend using inventory mode "Current In Stock". This means as soon as orders are imported the inventory numbers will be adjusted. "Available to Allocate" doesn't adjust until orders are released to DC. Especially if you use the auto-release feature, the auto-release only runs every couple hours.
3. Double check the correct seasons are selected to sync. Under the Shopify settings in Blastramp, there is a list of all linelists/seasons in Blastramp. You can select multiple or all by using SHIFT + CLICK or COMMAND + CLICK.

Things to Consider:

Orders from Shopify are imported into Blastramp every hour.
Inventory sync takes place every 30 mins.
When there are many orders coming in, there will be a lag between the order and inventory sync causing the two systems to be out of sync. Turning off the inventory sync combats this.
ie. there are 50 items ordered not imported into Blastramp yet. In Blastramp, there are 100 units in stock, but in reality only 50 left. When the inventory sync is scheduled, Blast Ramp will overwrite Shopify's inventory, as it is supposed to. Now Shopify is back to 100 units instead of 50 units.

NOTE:
Alhough we have systems in place to handle the volume of orders, we can't control the speed in which Shopify will send orders to Blastramp. There is a limit of integration calls we can make and Shopify can send.

Shipment confirmation from Blastramp to Customer
When the order is shipped in Blastramp, within 30 minutes, the order can be set to auto-release and auto-ship. See configuring your web order section.

Once the order is shipped, Blastramp will send the shipping confirmation to Shopify. And through Shopify, it will email the customer their order is on the way within 30 minutes of the order being marked as Shipped in Blastramp.

This automated function can be turned off. Please contact help@blastramp.com for this request.

Ship Station Order Integration
Orders Prior to Shipment

When an order is created in Blastramp, the order will be uploaded in Ship Station under "Awaiting Payment". Once the order is released in Blast Ramp, the order will be moved to "Awaiting Shipment".

Order Post Shipping


After the order is shipped in Ship Station (print and create shipping label), Ship Station will notify Blastramp and update the order status in Blastramp as shipped with weight, shipping method, and tracking number info.

Syncing the Systems


The updates occur automatically every 15 minutes. If you wish to sync the systems immediately, click the Sync Icon.

xero
Importing Invoices into Xero
When an order is shipped, it will be queued to be uploaded into Xero automatically. Blastramp sends data to Xero every 20 minutes. Once the invoice is uploaded into Xero, the invoice will be found in Draft.

Tax Setup


Blastramp does not send the tax rate to Xero. The tax percentage on the invoice in Xero will be based on the tax rate on the Sales account.
For example: All Sales is mapped to account Code 200. Account 200 is set at tax rate "Tax on Sales 12%"
When the invoice is sent from Blastramp to Xero, Blastramp maps the Sales to account 200. Xero will then assigns the "Tax on Sales 12%" onto each product line. 

Changes in Accounts


To make adjustments to the way the Accounts are mapped from Blastramp, go to: Advanced > Xero Items.

NOTE: If the Accounts Dropdown shows "Error", you will need to reset Authentication; go to: Advanced > Portal Setting : Xero Settings.
